The coffee break you don't have to announce: how a counter becomes a meeting spot

There’s that event moment when a talk ends, the doors open, and everyone heads off at once. Some people look for their phone, others for a colleague, and someone has already spotted the coffee counter from across the room. By the time the first cappuccino is ready, a “what did you think of the talk?” is already in the air, and something has begun that couldn’t have been written into the programme booklet.

Make it easy to reach, but not in the way
The position of the counter matters more than you might think at first. If it hides at the end of a corridor, people have to hunt for it. If it sits directly in front of the conference door, those waiting for coffee and those trying to leave can collide in the worst possible way.
Look for a spot that is clearly visible, easy to approach, and where a guest can step aside after receiving their drink. That way ordering, picking up and conversing can become three separate small movements, without people getting in each other’s way.
Make room for conversation
A few nearby high tables, a more relaxed seating nook or a deliberately kept clear area can help prevent guests from moving on immediately. It’s hard to sort a bag, find a business card and gesture enthusiastically all at once with a drink in hand.
You don’t need to turn the whole venue into a café. A small environment where it’s comfortable to spend a few minutes — while service can continue uninterrupted — is enough.
A clear choice of options
At events a long drink menu isn’t necessarily our friend. Guests usually want to see at a glance what’s available. A clearly legible selection, an obvious ordering point and pre-agreed alternatives can prevent many unnecessary questions.
Besides the expected number of guests, it’s also worth discussing whether everyone will arrive at once. A coffee counter that’s available all afternoon is a very different situation from a short, shared conference break.
A small detail that’s easy to comment on
A nice counter, a striking coffee-preparation gesture or a friendly note on the cup can be simple conversation starters. You don’t need to organise a separate activity for every guest. Sometimes a “did you see that?” is enough.
